Challenges in Recruitment Process

Before implementing Zoho Recruit, Pakka Ltd. faced challenges in their recruitment process, including inefficiencies in job posting, resume management, candidate tracking, and collaboration among hiring teams. These issues were compounded by the need for seamless integrations with external platforms like LinkedIn and Naukri.com, as well as a desire for a customized recruitment workflow.

  • Limited knowledge of Zoho Recruit within the team
  • Difficulty in integrating into the career site, as it was initially linked to a different domain.
  • Problems with integrating Naukri.com due to missing API keys (Zwayam Amplify Key).
  • Issues related to the integration of the “Contact Us” page and LinkedIn.

Solution: Implementing Zoho Recruit and Custom Integrations

Zoho Recruit:

Zoho Recruit is an applicant tracking system designed to streamline recruitment. It offers features like job posting, resume management, candidate tracking, and collaboration tools that improve efficiency and enhance the candidate experience.

LinkedIn Integration:

  The integration of Zoho Recruit with LinkedIn streamlined the recruitment process by enabling recruiters to easily import candidate profiles from LinkedIn into Zoho Recruit. This saved valuable time and reduced manual data entry, while improving candidate engagement and overall hiring outcomes.

Career Site Integration: 

A seamless flow of job postings was established between Zoho Recruit and the career site. This ensured that the latest job openings were always visible to candidates, improving application rates by simplifying the application process.

MRF Forms Integration:

Pakka Ltd. customized MRF forms within Zoho Recruit, with tailored approval workflows for different Sanghs. The system was set up to route approvals based on the type of MRF—new or replacement—ensuring efficient and accurate processing.

Addressing Key Challenges

Learning Zoho Recruit:

Initially, the team had limited knowledge of Zoho Recruit. With guidance from the project manager, Anjali Varshney, and continuous hands-on support, the team became proficient in using the system to its full potential.

Domain Integration Issues:

One of the major challenges was domain integration. Initially, the career site was linked to a different domain (yashpakka), but the client wanted to switch to their primary domain, “pakka.” Zoho Recruit does not allow users to change an existing domain but enables the creation of a subdomain. With assistance from Zoho support and the IT team, a new subdomain was created under the name “pakka,” and the Zoho team later helped with renaming the domain.

Naukri.com Integration Issues:

The integration with Naukri.com posed a challenge due to the absence of the Zwayam Amplify Key, which is essential for integration. After discussions with developers, it was decided that Pakka Ltd. would not proceed with the Naukri integration.

“Contact Us” Page Integration:

The lack of an IT team to manage the integration of the “Contact Us” page led to the decision not to move forward with this integration.

LinkedIn Integration:

The LinkedIn integration was successfully completed with the help of Anjali, allowing Pakka Ltd. to import candidate profiles directly into Zoho Recruit.

Implementation:

The integration of Zoho Recruit into Pakka Ltd.’s recruitment process was completed successfully, with a tailored configuration that met the company’s specific needs. By linking their domain with Zoho Recruit and integrating LinkedIn, Pakka Ltd. achieved real-time data flow between platforms, ensuring that recruitment data was always up to date.

The custom fields and modules within Zoho Recruit were configured to match Pakka Ltd.’s recruitment workflows, and automation processes were set up to trigger actions based on specific events. These changes resulted in:
