  • Mitta Builder is dealing in the real estate business, and they want to manage their leads and their accounts on a single platform.
  • Where they want to manage the end-to-end customer journey and maintain their payment process in Zoho CRM & Zoho Books.

  • We have developed the functionality where they can maintain their installment plans in Invoice Module of Zoho CRM and updating the transactions through Zoho Books and vice versa.

Problem statement and key Challenges

As Mitta Group providing two different installment plans:

Occasional Scheme Plan

In this plan, they can provide the installments as per their offers in the festive season. For ex. 2 installment or 5 Installment. It totally depends upon the Mitta Group how many installments they want to offer.

Standard Plan

In Standard plan they have fixed 10 installments from the time of Construction of the building till the delivery to the customer.

Key Challenges:

  • As per the CRM default functionality, we can do a straightforward calculation in Invoice Module. But they want to receive the multiple installments in against of the single Invoice and in Books they want a single Invoice against a customer.
  • As per the requirement we need to calculate multiple payment scenarios with 2 different installments combinations.
  • Below are the 3 different payment scenarios with the GST Calculation:
    【a】 Advance Payment
    【b】 Equal Payment
    【c】 Pending payment with Interest

Evaluation of the problem

Below are our evaluated points that we need to take care as per the customer requirement:

  • We need to do 2 separate calculations as per the Installment Plans.
  • Whenever any Invoice generated in Zoho CRM at the same time an Invoice should create in Zoho Books.
  • When they choose Installment Plan as Occasional Scheme Plan, we need to do separate
    calculation which includes the GST, Interest Rate and Pending Amount.
  • When they choose Installment Plan as Standard Plan, we need to do separate calculation which includes the GST, Interest Rate and Pending Amount
  • And all the Installment payment details will be captured in Zoho Books in against of that single raised Invoice and once the payment is recorded in Zoho Books, details should be updated in real time in the Invoice Module of Zoho CRM.
  • On every received payment, customers should receive the updates through the Emails.

Proposed solution(s) and Implementation

As these requirements cannot be fulfilled within the Zoho One default functionality. In order to fulfill the requirement, we have suggested and implemented below customizations through the custom function in Zoho CRM & Books:

  • Whenever any Invoice is created in CRM, an Invoice will be created automatically in Zoho Books.
  • In the Invoice Module, we created a sub form for Installments details.
  • As per the selection of Installment Plans, sub form will create rows as per the installments.
  • Once the payment is updated in Zoho Books all the calculations will be done automatically through custom function in backend and GST, Interest Rate & Pending Amount will be updated in Installment Plan sub form of Invoice in Zoho CRM.
  • On every payment received we send mail to customers with all the payment details through the custom function.

Conclusion

  • Multiple payments can be recorded for a single Invoice across multiple Installment Plans through this customization
  • The system automatically calculates the Interest, GST, and Pending Amount while performing these actions
  • As per the selection of Installment Plans, sub form will create rows as per the installments.
